Job Description
The Executive Assistant provides high-level administrative support to the PARIC sector leaders. The role requires independent project management, handling diverse activities, and maintaining confidentiality.
Key Areas of Responsibility
- Support Sector Leads, Sector VP’s, Ops VP’s, Directors, Managers by
- managing their calendars, ensuring appointments are scheduled effectively, and resolving scheduling conflicts.
- keeping sector leaders up to speed of upcoming commitments, deadlines, and responsibilities, ensuring timely follow-up and preparation.
- Arrange complex and detailed travel plans, including flight bookings, accommodations, transportation, and itinerary coordination for sectors and ops groups
- Arrange hotel reservations and travel, when necessary, for new hires
- Schedule interviews
- Handle expense report preparation and submission, ensuring accuracy and compliance with company policies for self and sector leads.
- Draft, edit, and format correspondence, emails, and other documents on behalf of the sectors, as needed.
- Work with Ops leaders to coordinate quarterly field leadership meetings to ensure successful execution.
- Compile necessary documents and materials for meetings, presentations, and conferences, as needed.
- Act as a point of contact for internal and external stakeholders, demonstrating professionalism and effective communication.
- Undertake various special projects assigned by the sector and ops team members, ensuring successful execution within designated timelines.
- After charitable donations submitted by sectors or ops are approved, facilitate with foundation contact to ensure all spots are filled and information, such as company logo, is provided.
- Assist Executive Assistant with all companywide events and meetings.
- Provide support to employees during challenging times, such as illnesses or personal difficulties, by arranging necessary assistance or gifts.
- Additional duties as assigned by the executive assistant and sector leaders.
Position Type/Expected Hours of Work
This is a full-time, salaried, exempt position. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5:00 p.m., although hours may vary to support specific needs.
Travel
Infrequent travel by car is expected for this position.
Required Skills

- Technical competence with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint) and various other hardware/software platforms such as iPhone, iPad, Microsoft Surface, social media – Twitter, LinkedIn, etc.

- Able to handle sensitive information with confidentiality and discretion
Preferred Education And Experience
- Bachelor’s degree strongly preferred, but not required.
